I would be glad to help organize this through the proper process (permits, applications, and deposits). I am not sure we meet the insurance requirements to comply, and this is likely part of the reason that last year I decided not to proceed with permit procurement.

Minimum insurance requirements are listed below, but these requirements may be
modified or increased depending on the nature of the event:

• Workers Compensation insurance with limits not less than $1 million.
• Employers’ Liability Coverage with limits of not less than $1,000,000 for each
  accident or occurrence, Comprehensive or Commercial General Liability Insurance with limits not less than $1,000,000 each occurrence, $2,000,000 aggregate for bodily injury, property damage, contractual liability, personal injury, products and completed operations.
  
• Automobile Liability insurance with limits not less than $1 million.

I'm all about getting a permit if it is feasible financially. If members are willing to contribute a small amount toward this permit, then that is fine. We did not have issues the last times we had the event and I would prefer not to change the date again.

I'm curious what process the "cars and coffee" people went through. That thing was massively 20x larger than any local s2ki event ever.

I was just talking to Baron on FB about this the other day... maybe turning this into an event for next year with permits, etc. People seem more inclined to participate if we have permissions from the authorities & such.

I'm down to help plan, I led the planning for JRG in 2011. I was thinking it could be an official NorCak S2k summer event with food, music, vendors (?) etc & maybe have a small cover to cover permit charges and / or to donate to a charity of some sort.

How did we have an amazing megameet in Sonoma and get to drive on the track for free? Why would we not do something similar again. It's the same conversation as last year. Either way I will attended. Just curious why this permit all of a sudden has become an issue?

It is not all of a sudden, as this discussion took place last year in the thread for the mega meet, hence the reason why it was moved to Sonoma. This permit information is a known entity and has been since last year.
